Position : Sponsorship Cluster - Communication Officer


Reporting to : Communication Manager/Cluster Programme Manager


Duration: 3 years renewable dependent on performance and availability of funding


Location: Northern Region

Role Overview

The Sponsorship Cluster Communication Officer facilitates supporter and child information, acts as communication liaison link with the cluster, builds capacity of sponsorship partners, facilitates supporter communications and reinforces the implementation of child sponsorship policies, procedures and systems for MM as aligned to the ActionAid international fundraising strategy.

Responsibilities

Child Sponsorship Data Management System (NK Database)
  • Generate Child Message and Photo update collection list from NK database for the purpose of CM &photo update collection
  • Facilitate timely collection of Child Messages (CM), Photo & Child Profile from the field, validate, log into NK database and mails to supports.
  • Write standard letters/Pack (Welcome, Transfer and Query response letters and mail to supporters within 14 days from date of receipts of each type of communications
  • Dispatch all planned communication packs to supporters within deadlines 30th June and 31st December for CMU and PU respectively
  • Receive correspondences from supporters, log into NK and send to LRPs for delivery to sponsor children.
Sponsorship Communication
  • Develop annual child sponsorship communication plan with LRPs
  • Timely collection of quality stories of change and photos from LRPs and upload unto Story Hub.
  • Write Communication Newsletters and Progress reports for Spain funded LRPs and mailed together with Child Messages as a pack to supporters.
  • Provide adhoc communication with LRPs and
Funding Affiliates.
  • Facilitate report production processes-input into layout and design.
  • Management Support to LRPs in the Cluster
  • Participate in appraisal of new LRP processes-collection and analysis of information and production of reports.
  • Participate and provision of information in support of LRP annual planning and budgeting process.
  • Track and monitor sponsorship children.
  • Participate in Participatory Review and Reflection Process (PRRP), Mid Term Review (MTR), Impact Assessment and Phase-out Process
Media and Communication for Clusters
  • Develop and implement monthly, quarterly and annual communications and digital work-plans in line with AAM Communications Strategy, LRP strategies in the Cluster and Country Strategy Paper.
  • Update media database to facilitate ease engagements within the Cluster.
  • Monitor AAM coverage in the media, identify and utilize media coverage opportunities of AAM interventions and impact at the Cluster.
  • Write news stones, feature stories on AAM work that relates to Cluster and submit them for free publication in mainstream media institutions.
  • Take lead in developing and publication of Cluster communications materials.
  • Develop regularly update and share with Communications Officer at Central level for input into the website.
  • Regularly design / develop materials for all social media accounts and platforms-Twitter and Facebook-with fresh and engaging content.
Staff and Partners Capacity Building
  • Participate in recruitment of staff
  • Facilitate induction for new staff and partners.
  • Conduct training on sponsorship operation for staff and partners.
  • Arrange field visit for supporters, peers and colleagues.
  • Participate in Sponsorship national and international workshops and trainings
  • Ensure compliance and adherence to communication policies and guidelines
  • Maintain good relationship with internal and external contacts.
Qualifications, Experience and Skills
  • The ideal candidate should have a Bachelors’ Degree or its equivalent in communication, public relations or related field.
  • Two (2) years post qualification experience in communications, database management or marketing.
  • Experience working in multi-cultural environment
  • Thorough understanding of laws and regulations on child labour, Education and safety in country.
  • Analysis and report writing skills
  • Presentation, communications and negotiation skills.
  • Planning, organisation, time management and coordination
  • Coaching , mentoring and capacity building / development.
