Job Description

Pakachere Institute of Health and Development Communication is one of the leading local health and development communication NGO in Malawi. Pakachere exists to empower Malawians, particularly the vulnerable, to choose and sustain healthy behaviors, through service delivery, evidence-based health and development communication, community mobilization, advocacy and networking. Pakachere invites suitably qualified candidates to fill the following positions:

Position: Receptionist/Office Assistant (1 Position)

Responsible to: Project Manager

Key relationships:          Project Manager M & E Manager, Community Mobilisation Officer, Field Officers and Data Entry Clerks

Grade:                          E3

Working hours: 40 hours

Contract:                      Full time, 1 year contract - renewable

Location: Thyolo

Purpose of Job

The Receptionist/Office Assistant will provide support to the District Office by maintaining the cleanliness of the entire office space and work station in which he/she works; performing various cleaning and dispatching duties.  S/he welcomes visitors by politely greeting them in person or on the telephone answering or referring enquiries. Directs visitors to the respective offices; maintains employee and department directories. S/he maintains security by following procedures.

Roles and Responsibilities

  • Ensures that all work stations and offices are kept clean at all times;
  • Ensures that office stocks are available at all times;
  • Updates bin cards on stock out at all times;
  • Ensures that all offices, entrances and work stations are kept clean on a daily basis; remove dust from all furniture and blinds as well as cleaning of windows and doors;
  • Emptying of rubbish bins daily; periodic cleaning of utensils and facilitating periodic polishing the floor;
  • Welcoming visitors and directing them to relevant offices at all times;
  • Answering telephones and directing them to relevant offices;
  • Welcoming clients as soon as they arrive and connect them with the appropriate party at all times;
  • Answer the phone in a timely manner and direct calls to the correct offices at all times;
  • Create and manage both digital and hardcopy filing systems for all partners as and when need arise;
  • Take and pass on messages to employees at all times;
  • Deal with special requests from visitors as and when need arise;
  • Inform other employees of visitors’ arrivals or cancellations;
  • Handle incoming and outgoing mail



  • Ordering of groceries for the office as and when need rise;
  • Assist with photocopying of documents when requested;
  • Stock control and monitoring for all chemicals and materials used;
  • Preparations and serving of refreshments as when there are visitors;
  • Assisting with office materials and equipment as and when need arise;
  • Prepare requisition for office stationery, stocks and utility payments

Personal Specifications


  • Knowledge of front office management

Educational qualification

  • MSCE or Certificate in Customer care services;
  • Fluency in English.
