Job Description

A fast growing company dealing in construction business, generators and furniture fitting is urgently looking for qualified and matured persons to fill the following  position  tenable in Blantyre.

 

Position: RECEPTIONIST


Duties and Responsibilities

 

  • Greet and welcome visitors to the Offices between
  • Ensure that the front and rear entrances of the building are clean.
  • Operate Alert’s switchboard from 8.30am – 4pm; receiving and transferring telephone calls, announcing callers, taking brief messages and passing these on via the email system or connecting callers to staff members personal direct line voicemail.
  • Report telephone equipment and line faults to the IT Manager.
  • Review and update on a regular basis the staff contact and telephone extension lists.
  • ensuring they sign in the visitor’s book and informing the relevant member of staff of their arrival.
  • Monitor and ensure that the reception area is kept tidy and business-like image.
  • Keep a record of staff and visitors signing in and out of the building
  • In the event of a fire and/or any other emergency requiring staff to leave the building, to be responsible for ensuring that the visitors book and staff movement sheets are removed from Reception and taken to the outside meeting point
  • Check and sign for deliveries by hand, post or courier before informing the relevant member of staff of their arrival.
  • Log extension changes and advise all staff accordingly
  • Carry out routine administrative duties

 

 

Qualification and Experience

  • Diploma in Front Office Studies or  Business Administration 
  • 5 years’ experience ’ working in a busy office with good track record

 

Skills and Knowledge

  • Strong customer service skills
  • Excellent oral and written communication skills
  • Must be computer literate in word, excel, power point and internet
  • Excellent organizational and interpersonal skills
  • Strong work ethics and exhibit strong self confidence
  • Must be tactical and diplomatic
  • Be self-starter, effective team player and result-oriented
  • Excellent record keeping skills
  • Must be a good time manager
  • Must be humble and of high integrity
