Job Description

Purpose of the position

A newly formed company that is aiming to be the leading innovative brand in creating modern everlasting lifestyles is seeking a Receptionist. He/She will be responsible for greeting clients and visitors at our office. He/She will be in charge of giving clients directions to various parts of the office, contacting employees regarding visitors, answering phones, taking messages, sorting and distributing mail. The successful candidate will be a pivotal member of staff in our company. They will be the first point of contact for any visitors to the office or anyone contacting the organization, so being well-presented, articulate and polite are essential traits required to be successful for this position.

He/She will maintain security by logging all visitors and possibly issuing visitor passes, plus provide support to the admin team. The successful candidate will be required to have excellent written and verbal communication skills, as well as competency in Microsoft Office applications such as Word and Excel. Prior experience as a sales rep will also helpful.

Key responsibilities & duties


• Diary management and management of meeting rooms
• Possibly handling event coordination, both internally and externally
• Handling queries and complaints via phone, email and general correspondence
• Greeting all visitors and assisting clients in finding their way around the office
• Provide excellent customer service.
• Monitor and record all petty cash payments, balance, travel vouchers.
• Provide Secretarial support such as preparing documents, updating database, etc
• Keep the reception Area clean and neat at all times.
• Organize reading material for visitors and clients.
• Receiving visitors and clients with a positive, helpful attitude and in a professional manner.
• Possibly managing office supplies such as stationery, equipment and furniture
• Performing ad-hoc administration duties
• Scheduling appointments.
• Maintaining office services as required (such as cleaners and maintenance companies)
• Receiving and dispatching deliveries
• Managing and sorting incoming and out-going mail as required
• Answering phones in a professional manner, and routing calls as necessary.
• Assisting colleagues with administrative tasks.
• Assist the sales and marketing team in promoting the company’s existing services, push up sales.
• Assist the sales team in meeting their quotas and set goals.
• Maintaining an excellent relationships with clients through superior customer service
• Performing ad-hoc administrative duties.
• Taking and ensuring messages are passed to the appropriate staff member on a timely basis

Requirements

• Diploma in Communication, Associate’s or any other related field. – An added advantage will be given to the candidate with the following certifications: Understanding and knowledge of sales and marketing.
• Strong analytical, organizational, and creative thinking skills.
• Excellent communication, interpersonal, and customer service skills.
• Prior experience as a receptionist or in a related field.
• Consistent, professional dress, and manner.
• Excellent written and verbal communication skills.
• Competency in Microsoft applications including Word, Excel, and Outlook.
• Superb time management skills.
• Experience with administrative and clerical procedures.
• Able to contribute positively as part of a team, helping out with various tasks as required.
• At least 4 years related work experience and/or training; or equivalent combination of education and experience.
