Job Description

The Hunger Project Malawi (THP-Mw) is a branch of the Global Hunger Project, a non-profit, strategic organization committed to the sustainable end of world hunger and poverty. Our vision is a world

where every woman, man and child Iead a healthy, fulfilling life of self-reliance and dignity. Our mission is to end hunger and poverty by pioneering sustainable, grassroots, women-centered strategies and advocate for their widespread adoption in countries throughout the world. THP-Malawi has been operating in Malawi since 1979 and is currently running programs and projects in nine districts namely,
Blantyre, Chikhwawa, Dedza, Neno, Nsanje, Ntcheu, Phalombe, Salima and Zomba.

THP-Mw has received funding from CBM to implement a project called “Promoting Disability mainstreaming in food and nutrition security” in Ntcheu, Phalombe and Nsanje Districts for a period of five years.

THP-Mw wishes to recruit project staff for the position of Project Accountant (1)

 position; PROJECT ACCOUNTANT

(Based in Blantyre)

JOB PURPOSE :To keep and maintain day-to-day accounts of operations of the Project and take a leading role in the preparation. monitoring and control of the Project’s- budget. To provide advice to management on all financial matters of the project

RESPONSIBILITIES;

Reporting to the Head of Finance & Administration at THP Malawi, the key responsibilities of the project Accountant will be as follows:

  •  To prepare financial reports & donor report
  •  To produce accurate and timely, monthly, quarterly and annual financial and related reports in accordance with requirements of donor (Global Office) specifications
  •  To Maintain the cashbooks & updating the general ledger
  •  Checking arithmetic accuracy and budgetary compliance of all fund’s requests
  •  Issuing of cheques, making follow ups of all disbursed funds for timely liquidation and banking all unused funds.
  •  Recording cheques into control hook
  •  Maintaining petty cash book
  •  Updating fixed asset register
  •  Filing of finance related documents
  •  To monitor and report on movement of the organization’s funds as well as management of project resources
  •  Bank reconciliations
  •  Payroll
  •  Ensure that all taxes and TEVET levy are remitted on time to the authorities
DUTIES;
  •  Assisting the Finance Officer in monitoring and reporting on the movement of the organization’s funds as well as managing the project’s resources Assisting the finance officer in preparing monthly management accounts
  •  Preparing payroll for all project staff Any other ditties assigned by the Head of Finance and Administration
QUALIFICATIONS;

This is a more demanding but motivating administrative permanent position which requires:

  •  Self-starting Accountancy administration Graduate with Excellent Numerical, spread -sheet and communication skills or
  •  Diploma in Accounts or Advanced Diploma in Business Management with two-years Finance Experience
  •  Excellent social, Interpersonal and reasoning skills
  •  Willingness to work with rural communities Excellent communication skills in English (both written and verbal

ADMINISTRATION

  • To prepare payroll for Project staff
  •  Administrative control of project assets
  •  Purchases
  •  Develop and maintain administrative procedures with regard to regard to office vehicles and relevant support services
KNOW HOW

  •  A good understanding of The Hunger Project Mission, Objectives, Principles and Methodology
  •  A comprehensive knowledge and understanding of accounting and audit practices related to donor funded projects
  •  Knowledge of miming and maintaining a revolving fund (Micro-credit)
PERSONAL

  •  Qualities of tact. patience and diligence, when handling financial matters
  •  Good planning, organizational and communication skills (both written and verbal)
  •  Good social and interpersonal skills
  •  Team worker with outgoing personality
  •  Ability to maintain confidentiality of financial information

PROBLEM SOLVING
  •  To handle all financial matters at management and in the partner villages where THP-Malawi is operating
  •  To deal with all audit queries raised by external auditors
  •  To show initiative and problem-solving, ability in administrative issues
ACCOUNTABILITY;

The job holder is not directly supervised on a day-to-day basis by management and therefore self-motivation is very important. All finance issues of the project are regarded as very sensitive and confidentiality cannot be overemphasized.

ADDITIONAL INFORMATION;

The job holder is expected to work in an independent and responsible way, displaying qualities of initiative, good judgment and clear thinking in dealing with finance and administrative issues of the project.
