Job Description

The Registered Trustees of Girls Secondary Education (Trust), which is a newly incorporated non-governmental organisation (NGO), has been established, with support and cooperation between the public and private sectors, including the Government of Malawi through the Ministry of Education, Science & Technology and UNICEF, to provide financial and related support to eligible girls that are pursuing, or commencing to pursue, secondary education in Malawi.

The Trust is headquartered in Lilongwe but will carry out its role and functions throughout the country. The primary role of the Trust is to fundraise and award scholarships to eligible girls. The Trust is in the process of setting up a secretariat at its headquarters.

It is for this reason, that the Trust is inviting applications from suitably qualified candidates to fill the following vacancies:


Job position: Program Officer



Responsible to: Executive Director


Job Purpose:

To oversee program development, manage projects and oversee budgets. He or she should ensure that the Trusts activities and programs align with the goals and mission statements of the Girls Trust.


Responsibilities:

Governance

He or she will be a member of the Trust Management Team and will be invited to sit in the Sub-Committees, where necessary.


Core responsibilities

  • Develop program initiatives and outlines which includes staff development, project management, implementation and daily activities
  • Assist the Executive Director in the day to day running of the affairs of the Trust, particularly administration of the scholarship programs
  • Oversee Funds and budgets: Creating budgets for projects costs and program expenditures, work closely with other managers, stakeholders and financial supporters in developing, maintaining and ensuring adherence to budget. Reviewing grant proposals
  • Build and maintain partnerships and relationships with other organizations, such as donors, private sector bodies, CONGOMA, the NGO Board and the education NGO community in order to expand resources, raise funding and educate the public about the Trust
  • Keep the Trust informed about development and ongoing activities by producing reports i.e. weekly, monthly or quarterly
  • Compile and maintain an update and credible database of the Trust beneficiaries
  • Compile and maintain an update and credible database of international and local donor organizations which the Trust could partner with in fundraising
  • Regularly monitor donor websites and identify and inform donor opportunities matching the work of the organization
  • Maintain the Trust website and regularly update it with information about organization’s work
  • Assist the Executive Director in writing concept notes, project ideas and project proposals and ensure their timely submission
  • Undertake independent research in finding alternative resources for long-term sustainability of the organization
  • Assist the Executive Director in developing business plans and other fundraising reports to generate income from various sources
  • Undertake online research and build contacts with potential individual donors and raise funds for the activities of the organization
  • Develop communications material for the organization such as brochure, website, annual report, DVD, poster etc
  • Provide assistance to the Executive Director in organising any fundraising events for the organization
  • Assist the Executive Director in managing the Trust events
  • Designing, production, distribution and coordination of communication materials of the Trust, including brochures, leaflets, calendars, videos, advocacy packs, newsletters and Annual Reports
  • Actively undertake advocacy campaigns and strategies for the Trust
  • Produce articles for the Trust News bulletin
  • Produce operational plans and reports to the Executive Director; and Carry out any other duty as assigned by the National Coordinator from time to time.

 

Other responsibilities

  • Recommending improvements to internal processes that enable more prompt proposal submission review and improve communications.
  • Preparing background papers, talking points and policy recommendations for the senior leadership.
  • Developing project strategies and budget as well as guiding and assigning work to the staff as appropriate and ensuring that projects meet objectives.
  • Planning and implementing special events and fund raising activities reported on the event progress and budget management.

Qualifications and Experience

  • A Bachelors degree in Project Management or any other Bachelors Degree in a related field.
  • Masters in Project Management or related field will be an added advantage.
  • Five years’ experience working in NGOs.
  • Practical experience in managing donor funded programs or projects.

 

Requisite knowledge, abilities and skills

  • Extensive experience of managing in multidisciplinary team and sustaining various aspects of program activities.
  • Sound knowledge of evaluation of Trust programs and policies and issues.
  • Solid understanding of nonprofit organizations and governments relations.
  • Proficient in coordinating events, liaising with community leaders, developing reports and assessing program performance.
  • Pro-active and solution oriented.
  • Ability to work under pressure and to work independently with minimum supervision.
  • Proven ability to produce results within tight deadlines in a busy environment.
  • Analytical skills and decision making ability in a complex and sensitive situations.
