Job Description

PSI Malawi is affiliated to Population Service International, a Washington DC based non-governmental and nonprofit making organization. PSI Malawi mission is to support low income and at-risk Malawians to lead healthier lives through the provision and promotion of quality products and services, in line with the Government of Malawi goals. To accomplish its mission, PSI Malawi is inviting applications from suitably qualified candidates to fill the following vacant position;



Position: Procurement Officer
(based in Lilongwe)


Roles and Responsibilities

Reporting to the Procurement Manager, the incumbent will be required to perform the following duties and responsibilities;

  •  Generate Local purchase Order from approved requisition
  • Receive purchase requests from internal customers
  • Review purchase requisitions and identify sources of supply
  • Identify supplier to fill requisitions in accordance with approved supplier management policies.
  • Modification of Order/ Contracts in the QBE after approval.
  •  Work with Warehouse to ensure safe delivery and receipt of ordered materials.
  • Use standardized contracts with suppliers
  • Lead fact-based negotiations with suppliers.
  • Consolidation of documentation e.g invoices, after action report, GRN to finance for payment
  • Maintain good level of public relations with outside suppliers as well as strong partnership with internal users
  • Preparation and management of contractors’ contracts and prepare their monthly payments
  • Identify alternative supply sources for materials/services not under contract
  • Manage day to day supplier relationship for assigned commodities
  • Provide historical spend utilization and compliance data to strategic sourcing initiatives as needed
  • Scanning and attaching of documents in QBE
  • Participate in the recruitment of independent contractors
  •  Screening of every transaction and making sure that timely bridgers are attached
  • Filling of procurement documents
  • Daily update of procurement tracker
  • Work with contract owner to monitor and maintain contract utilization and information


Qualification, Knowledge, Ability and Skills

  • Applicants must have a diploma in Purchasing & Chain Supply or related field. Must be a registered member of Malawi Institute of Procurement and Supply (MIPS)
  • Must have a good understanding of Malawi Public Procurement Act and Regulations
  • Good experience in procurement management and understanding environment of the cooperating partners, health public sector, NGO and private sector
  • Clear understanding of the social Economic fabric of the country
  • Good understanding of different donor requirements and procedures
  • Excellent oral and written communication skills
  • Understanding of internal controls, continuance assessment and introducing new ones
  • Innovative ways of closing the loop on fraud and unethical dilemma
  • Self-starter, effective team player and demonstrated verifiable result-oriented track record
