Job Description

Partners in Health (PIH) is a non-profit organization based in Boston, Massachusetts, USA, whose mission is to provide a preferential option for the poor in health care. Through service delivery, training, advocacy and research, PIH works globally to bring the benefits of modern science to those most in need and to serve as an antidote to despair. PIH has programs in Haiti, Peru, Mexico, Russia, Rwanda, Lesotho, Malawi, Sierra Leone, Liberia, Kazakhstan and Boston.


PIH began working in Malawi in 2007, where today we support the Ministry of Health (MOH) to serve a catchment area of 165,000 through 12 health centers and two hospitals in partnership with our sister organizations. Abwenzi Pa Za Umoyo (APZU) is in Neno District and we seek to recruit suitably qualified and experienced candidates for the following positions:


Position: Pharmacy Supply Chain Manager

Reports to:
 Medical Director

 Full Time (Monday-Friday)

Position Description Overview

The overall responsibility of the Pharmacy Supply Chain Manager is to manage and lead the PIH-APZU Pharmacy program and contribute to pharmacy and supply chain initiatives. This position is responsible for strengthening the health care system by ensuring that appropriate and effective health commodities are available and accessible to all patient within PIH supported health facilities.

To accomplish this, the Pharmacy Supply Chain Manager is responsible for strengthening the hospital-based Drug and Therapeutics Committee (DTC), building capacity of pharmacy and clinical teams in line with the pharmaceutical care and pharmaceutical management, forecasting and supporting local and international procurement, supporting the warehouse team in developing effective standard operating procedures and guidelines for warehousing health commodities. A particular focus in this area is to ensure uninterrupted supply of health commodities by ensuring appropriate product selection, quantification, requisition, inventory management, return management and monitoring the use of those health commodities.

Additionally, the Pharmacy Supply Chain Manager collaborates with PIH-APZU clinical programs to develop and implement “priority” clinical programs requiring planning and coordination for health commodities. Moreover, the Pharmacy Program Manager supervises Pharmacy Program Coordinator and IC3 Pharmacy Assistants, and works hand in hand with MoH Pharmacy team to improve the pharmaceutical service delivery.

Responsibilities and Duties

Support MOH Pharmacy

  • Working collaboratively with the MoH Pharmacy team, supporting internal weekly orders, monthly physical inventories, the district wide Central Medical Stores’ order and Drug Therapeutic Committee meetings.
  • Accompanying and strengthening PIH-APZU-supported health facilities for essential commodities and ensure zero stock out days of medication and commodities with a special focus on chronic care medications across integrated chronic care clinics.
  • Implementing minimum standards for pharmaceutical storage across all health facilities across Neno District.
  • Helping formulate district level pharmacy supply chain policies and ensuring policies and procedures are followed.
  • Providing standards and advice to medical team in Clinical Pharmacy, including the clinical formulary management, prescribing and dispensing protocol, etc.

Supply Chain Management

  • Ensuring accurate medical consumption data is available from all end users to facilitate the local and international medical order process as per the routine schedule.
  • Providing input for the development of pharmacy operating budgets and utilization of medical resources.
  • Communicating regularly with Boston Supply Chain team on clinical orders and shipments, and initiate the application process for the import license from PMRA.
  • Working with Operations team to provide technical advice and technical sign off on pharmaceutical procurement; including supplier assessments and selection, and participates in the local procurement committee when needed.
  • Working with PIH Warehouse team to ensure medications are always appropriately stored with respect to the guidelines for proper storage of health commodities and participating in clinical inventory.
  • Coordinating the disposition process for all expired or damaged pharmaceuticals and other related products.
  • Managing the PIH-APZU Pharmacy program and participating in pharmacy supply chain initiatives at cross site level.


  • Responsible for the recruitment, retention, performance enhancement and competence assessment of direct reports.
  • Providing for effective employee relations to promote employee-manager effectiveness and satisfaction in the workplace.
  • Building and maintaining positive relationships with all members of staff, and contacts within and outside of the organization.
  • Exercising good judgment and excellent routine communication with APZU clinical leadership.
  • Representing PIH/APZU at relevant meetings at the local, district and national level as well as within Partners In Health globally when assigned.

Mentorship and Supervision

  • Supervising the Pharmacy Program Coordinator, IC3 Pharmacy Assistants and other support staff.
  • Conducting quarterly supervision visits to each health center.
  • Mentoring and organizing trainings and education sessions on pharmaceutical management and rational medicine use.
  • Any other duties as assigned to him/her by the supervisor.

Qualification, Attributes and Experience Required

  • Minimum of bachelor’s degree in pharmacy from a recognized institution and registered with the Pharmacy, Medicines and Regulatory Authority.
  • A minimum of three years’ experience in pharmacy supply chain in a busy institution, preferably in the humanitarian or NGO-sector.
  • Strong problem solving and interpersonal and analytical skills.
  • Able to work under pressure with minimum supervision.
  • Excellent skills in Microsoft Office, e-mail communication, and electronic database management.
  • Outstanding communication skills (written, spoken and presentation).
  • Proficiency in written and spoken Chichewa and English
