Job Description

The National Oil Company of Malawi (NOCMA) whose main objective to ensure security of fuel supply in Malawi is a wholly owned Malawi Government Company established under the Company’s Act of 1984 on the 10th December 2010 and commenced its operation in 2012. NOCMA is responsible tor managing the Country’s million liters Strategic Fuel Reserves situated in Blantyre, Lilongwe and Mzuzu; and smaller depots in Chilumba, Chipoka and Mchinji.

Over the past eight (8) years, the Company has grown tremendously in its national strategic importance with its fuel importation market share growing from ten percent (10%) in 2015 to an average of sixty percent (60%) in 2019/20 and this has been matched with growth in Institutional capacity and investments to enable efficiency and effectiveness in executing its mandate.

In its drive to censure improved and sustained efficiency and effectiveness in delivery of its mandate. NOCMA is seeking to recruit qualified and experienced candidates to fill various highly rewarding positions that have arisen within the Company.

Job Title : Personal Assistant to CEO


Grade: NOC7


Department : Corporate Services


Reporting to : Chief Executive Officer


Purpose of the Job : To provide secretarial services.


Key Roles and Responsibilities


  • Taking dictation, transcription and composing correspondence for the CEO
  • Handling telephone calls for the CEO’s Office
  • Dealing with all incoming and outgoing emails and posts to the CEO
  • Managing the CEO’ diary, meetings, and related files/papers for such meetings.
  • Arranging appointments, engagements, and the CEO’s itinerary
  • Making and coordinating the CEO’s travel arrangements.
  • Indexing the CEO’s business correspondence.
  • Organizing the CEO’ office refreshments, wall charts, and year planners.
  • Orienting and inducting newly recruited office secretaries.
  • Controlling stationery and other office materials for the CEO’s office.
  • Supplying and providing approved reference materials to stakeholders.
  • Arranging and coordinating NOCMAs Board meetings.
  • Any other duties relevant to the post of Personal Assistant as may be assigned.


Qualifications and Experience

  • Minimum of Diploma in Business Management and Administration
  • Secretarial Management Studies.
  • At beast three (3) years’ experience in a similar position
  • A proven secretarial background


Additional Skills and Abilities
  • Excellent IT skills.
  • Excellent oral and written communications skills
  • Experience in establishing and maintaining office systems
  • Flexibility and ability to work under pressure
  • Excellent Ms Word processing skills
  • Experience in working with Executives
  • A pleasant and courteous personality
