Position: PEOPLE & CULTURE COORDINATOR (GRADE 13), 
 
 
Based at the South Zone Office in Blantyre


Purpose of the position:

To provide effective, transparent and legally compliant staffing services to P&C portfolio of WV Malawi. The position will also provide oversight of end to end P and C transition processes of professionals and technical personnel in a timely and cost effective manner.

Major Responsibilities

1. Staffing Requisition and Planning

  •  Work with other Business Partners, Grants and project Team and hiring managers to understand current and future skills needed in WV Malawi.
  •  In partnership with other business partners and hiring managers, ensure proper planning for required positions occur prior to recruitment.
  •  Maintain current knowledge of applicable laws, regulations and trends in recruitment, WVM organizational policies, benefits and compensation, relocation and repatriation.

2. Candidate Screening, Interviewing and Selection Process

  •  In collaboration with hiring managers conduct effective screening, interviewing, and assessments for the best candidates for a position match.
  • Work with International Staffing Specialist to coordinate and manage international staff recruitment under the guidance of the P&C Director.
  • Shortlist candidates for assigned positions from sourcing pools and present candidate short-list to hiring managers.
  • Develop and maintain candidate relationships through ongoing communications regarding questions, updates and status during the interview process.
  • Provide regular updates to hiring managers on search progress throughout the recruitment process.
  • Manage logistics and coordinate interviews for short-listed candidates with hiring managers (e.g. manage interview schedules, travel and related information to both candidates and hiring managers)
  •  Capture and manage candidate interview results and selection decisions
  • Provide feedback to candidates on interview results and selection decisions
  • Coordinate background screening/reference checks for selected candidates.
  • Conduct recruitment in a professional and ethical manner in accordance with WVM goals and Christian Commitment principles.

2. Coordinate Orientation/ On Boarding

  •  Creates clear policies and employee handbooks that explain company operations, policies and ensure all new staff have filled all WV entry forms
  •  Assists staff to get police clearance and vetting new staff
  •  Crafts and sends emails with information about the company and position, including work schedules, dress code and parking options
  •  Liaise and engage department heads in preparing staff orientation
  •  Preparing onboarding kits
  •  Coordinate and Engage ICT and departmental heads on new staff requirements ( eg, working tools, OP profile, Outlook)

3. Offer, Feedback & Closing

  •  Negotiates offer with selected candidate within WVM compensation policies and budget limits specified by hiring manager.
  •  Draws up and issue offer letter for selected candidates and ensure employment contracts in line with WVM standards are issued upon offer acceptance
  •  In consultation with the P&C Director initiate Personnel Action Form (PAF) paperwork for international staff acceptance.
  •  Ensures appropriate orientation/on-boarding support is provided to new hires in collaboration with the P&C Business Partners and hiring managers.
  •  Ensures recruitment file and new hire paperwork is complete and forwarded to the appropriate office or place according to policy.
  •  Coordinates payroll administration for newly appointed staff with the appropriate P&C staff.

4. Communication and reporting

  •  Produce and submits periodic up-dates to inform management about HR plans, achievements, challenges and the way forward.
  •  Produce and submits status recruitment up-dates for stakeholders on a weekly basis.
  •  Submits monthly report to the P&C Director within set standards and timeline.
  •  Submits interview updates report within one week after an activity.
  •  Update and maintain the recruiting database, including utilizing the applicant tracking system efficiently to ensure consistent, timely and accurate data entry.
  •  Generates status and financial reports as needed and participate in continuous quality improvement of the recruitment process (i.e. tracking applicants to requisitions, stats using applicants within the system, entering hire/offer data, log interview information, notes and other types of applicable data)

5. Contract Management

  • Tracks on a monthly basis all WV Malawi contracts to ensure that end of contracts process are timely managed
  • Liaises with P&C Business Partner to process end of contract benefits for all WV Malawi grants and emergency staff (local and international) within the requirements of the law and WVM P&C policies


Qualifications: Education/Knowledge/Technical Skills and Experience

  • • Bachelor’s degree in Human Resource Management, Business Administration or its equivalent from a recognized institution
    • At least 3 to 5 years’ experience in recruitment and/or Human Resources Management with a strong focus in compensation and benefits and job grading systems
    • Deep knowledge of local employment, labour laws and legal requirements.
    • Strong analytical skills with attention to detail
    • Demonstrate personal integrity and trustworthiness
    • Experience in recruitment especially of professional and technical positions (both national and international applicants).
    • Membership to IPMM required
