Modern Cooking for Healthy Forests

A Project funded by USAID and UKaid

Tetra Tech creates practical, sustainable, and environmentally responsible solutions to address the world’s most complex challenges. Through its subsidiary Tetra Tech ARD (http://www.tetratechintdev.com), a US-based international development firm is implementing the USAID/Malawi and UKAid-funded Modern Cooking for Healthy Forests (MCHF) project. The goal of this project is to have a sustainably maintained forest cover and reduced land-based emission in Malawi.

MCHF is accepting expressions of interest for the following post: 

 
 
Position: OPERATIONS ASSISTANT


The post is open to Malawian candidates only.

Position Summary

The Operations Assistant works under the leadership of the Operations Manager and is responsible for day-to-day assistance with the MCHF project’s procurement, human resources, vehicle management and office administration systems. The Operations Assistant will also provide Logistics Lead support to MCHF project events. This position will be based in Lilongwe.

Main responsibilities and tasks include:

• Support the overall functions of front office reception, inventory logging and consignment, and office property management.
• Responsible for petty cash transactions and reconciliation
• Serve as a secondary point of contact between MCHF and vendors of services, especially those vendors with ongoing service agreements of long duration such as employee benefits, telecommunication and transport agreements.
• Coordinate with the technical staff and finance staff on logistical preparation for project conferences, trainings, workshops, consultants and field visits.
• Serve as the Logistical Lead for event planning, preparation and on-site event coordination and disbursement of allowances according to standard operating procedures for financial accountability.
• In compliance with Tetra Tech policies and procedures, support the procurement for goods and services.
• In compliance with Tetra Tech policies and procedures, support the human resources functions of the project, including the collection of timesheets, the onboarding of new hires to the project and completeness of each personal file in both hardcopy and softcopy.
• Assist with maintenance of an up-to-date vehicle assignment calendar in both electronic file and whiteboard display in the office.
• Support hotel and transportation reservations for international visitors.
• Other duties as assigned by the Operations Manager or the Director of Cross-Cutting Services.


Qualifications

  • • (Required) A Bachelor’s Degree or equivalent in Human Resources Management, Business Administration, or other relevant field.
    • (Required) Minimum 3 years of relevant professional experience.
    • (Required) Excellent communication skills, oral and written.
    • (Required) Experience working in a similar position for a USAID contractor, or an international organization.
    • (Required) Must have the ability to work quickly, responsively, and effectively in a fast-paced,

    deadline-driven and sometimes stressful environment.
    • (Required) Excellent written and verbal communication in English.
    • (Preferred) A record of continuous advancement in similar positions
    • Demonstrated proficiency in the professional use of the Microsoft Office suite (including MS Excel and Teams), Adobe or other desktop publishing software to develop communications materials including fact sheets, infographics, etc.
