APPLICATIONS FOR THE POST OF OFFICE ASSISTANT (GS3) GENERAL SERVICE CATEGORY POST OF THE COMESA COMPETITION COMMISSION


1. INTRODUCTION

The COMESA Competition Commission (“the Commission”) is a regional body corporate established under Article 6 of the COMESA Competition Regulations (“the Regulations”) promulgated under Article 55 of the Treaty establishing the Common Market for Eastern and Southern Africa (COMESA). The Commission is responsible for promoting competition and enhancing the welfare of consumers in the Common Market.

The main functions of the Commission are to monitor markets and investigate anti-competitive business practices, control mergers and other forms of acquisitions in the Common Market and mediate disputes between the Member States concerning anti-competitive conduct. The Commission commenced its operations on 14th January, 2013 and is located in Lilongwe, Malawi. More information can be obtained from the Commission’s website http://www.comesacompetition.org/

 

The Commission is looking to recruit a suitably qualified and experienced candidate to fill the position of Office Assistant (GS3) post tenable at the Commission Offices in Lilongwe, Malawi.

2. JOB DESCRIPTION



JOB TITLE: Office Assistant



GRADE: General Service Category (GS3)


SALARY SCALE: COM$ 3,517 – COM$ 5,095 per annum

DIVISION: Human Resource and Administration


TENURE: A fixed term of Five (5) years. Extension of contract is subject to availability of funds, performance of the contract holder and approval of successive annual Work Plans by the COMESA Competition Commission.


NUMBER OF POSTS: One (1)


DUTY STATION: Lilongwe

REPORTS TO: Senior Administrative Assistant

TYPE OF CONTRACT: Commission’s fixed term employee under General Service Category



3. DUTIES AND RESPONSIBILITIES


Under the direct supervision of the Senior Administrative Assistant and overall supervision of the Senior Human Resource and Administration Officer of the COMESA Competition Commission, the incumbent shall undertake the task of cleaning, messenger and administrative support. Specifically, the Office Assistant shall perform the following duties:

Cleaning

  • Responsible for all basic cleaning in and around office premises of the Commission;
  • Cleans floors and rooms including dust mopping, damp mopping, sweeping, vacuuming, dusting, picking up larger objects off the floor, and spot cleaning glass and windows;
  • Cleans restrooms, including restocking dispensers, emptying trash, cleaning and sanitizing fixtures,
    cleaning mirrors, spot cleaning partition doors and walls, sweeping and mopping tile floors, and
    cleaning toilets and urinals;
  • Vacuums, empties trash, and replaces liners;
  • Sets up, stocks, and maintains cleaning equipment and supplies;
  • Monitors and maintains sanitation and organization of assigned areas;
  • Follow all health and safety regulations;

Messenger

  • Unload and sort items collected by the Commission;
  • Receive letters or materials to be delivered, and information on recipients, such as names, addresses,
    telephone numbers, and delivery instructions, communicated via telephone, or in person;
  • Deliver letters and items, such as newspapers, documents, and packages, between Divisions and the
    Commission’s Office premises and to other establishments;

Administrative Support

  • Preparation of refreshments for Commission meetings to ensure optimum service is provided to meeting participants and guests;
  • Carrying out administrative support such as filing, copying, binding and scanning;
  • Notify the supervisor any occurrences of deficiencies that needs repairs;
  • Cooperate with the rest of the staff; and
  • Carry out other functions which may be assigned by Supervisors from time to time as needed.


4. JOB REQUIREMENTS: EXPERIENCE, COMPETETENCE AND QUALIFICATIONS

  • Minimum of 5 years post qualifying relevant work experience
  • Malawi School Certificate of Education (MSCE)
  • Ability to handle heavy equipment and machinery
  • Knowledge of cleaning chemicals and supplies
  • Familiarity with Material Safety Data Sheets
  • Integrity
  • Ability to work independently with minimum supervision
  • Knowledge of English language

  • Maintaining confidentiality
  • Ability to stooping, lifting heavy items and balancing
