Job Description

Médecins Sans Frontières is a private, non-profit international humanitarian organization dedicated to providing medical assistance to populations in crisis, without discrimination and regardless of race, religion, creed or political affiliation. In Malawi, MSF works in collaboration with the Ministry of Health and the local community in integrated HIV/AIDS in Chiradzulu District and Cervical Cancer projects Blantyre districts.


MSFF is looking for its Blantyre Coordination office:



Position: LIAISON OFFICER



Workplace : Blantyre- Coordination Office

Type of contract : 6 month Fixed term contract with possible extension

Start date : Immediate



Main purpose of the position


Give support to external administrative work and to the coordination team in obtaining working/travel permits, as well as all official contacts, procedures and importation of goods, according to local and international laws and MSF procedures, in order to ensure the smooth running of MSF activities. The Liaison Officer will be reporting directly to the Human Resources Coordinator.


Main responsibilities

  • Together with the HR Co, ensure that all MSF staff has applied and obtained on time any visa, stay, travel or working permits in the mission country according to needs, and keep information on legal, administrative procedures
  • Maintain the support travel service in HQ informed about ongoing processes, specific situations or changes in the procedures related to visas, working permits, etc.
  • Establish and maintain professional contacts with relevant authorities, depending on the context and the needs of the mission. • Keep a complete and updated detailed list of all useful internal/external contacts in the Country/Mission with names, telephones, addresses and other relevant details (Mission contact list)
  • Establish and maintain a monthly/weekly updated file of Expats arrival and presence in Malawi
  • Establish and Maintain paper and electronic permit files of expats with proper archiving.
  • In liaision with Transport (Head of Drivers) organise movement plans of expats to and from the airport.
  • Liaise with Finance department to arrange perdiems for new arrivals.
  • In coordination with HrCo, ensure that expat notification arrival files are sent on time to Liaison and Administration Officer in Lilongwe. .


Requirements

  • Education: Desirable HR, Business Administration Diploma

  • Experience: Previous working experience of at least two years in a similar job; experience with MSF or other NGOs, desirable.

  • Language: Local language and able to speak English

  • Knowledge: Computer Literacy (Excel, Word)

  • Competencies: Result –oriented, Team -player, flexible, service- oriented, able to work under minimal supervision
