Job Description

Reporting to: Head of Human Resource / Organization Development & Administration.

Duration: 3 years renewable dependent on availability of funds and performance.

ActionAid Malawi is a locally registered non-governmental organisation under the Company’s Act 1984 as a company limited by guarantee and is affiliated to ActionAid International, a federation of national organizations working in over 45 countries in Africa, Asia, America and Europe regions. ActionAid International is a global justice Federation working to achieve social justice, gender equality and poverty eradication. ActionAid works to strengthen the capacity and active agency of people living in poverty and exclusion, especially women, to assert their rights.

ROLE OVERVIEW:
To provide information Technology support to Country Programme operations by ensuring that IT systems in ActionAid Malawi function smoothly and efficiently in compliance with ActionAid Malawi IT strategy / policy and ActionAid International standards in support of the mission objectives outlined in ActionAid Malawi Country Strategy Paper.

RESPONSIBILITIES:

  • Provide IT Strategic direction.
  • Implement and monitor the implementation of IT Strategy and Policy in the country and recommends desirable changes.
  • Develop and implement IT Plans and Budgets.
  • Evaluate emerging trends and technologies relevant to the organization and present findings with recommendations and specifications through reports & presentations.
  • Assists in the determination of software needs of the country and its projects and implements necessary software infrastructure.
  • Develops IT initiatives for use in development in liaison with programme support unit.
  • Develop and implement an IT Disaster recovery plan for the country.
  • Server and Network Monitoring and Maintenance
  • Checking that the server is functioning by monitoring utilities and resource utilization routinely.
  • Protecting the server and ensuring data security and carrying out virus scanning in line with CP IT policies and guidelines.
  • Preforming and ensuring server backups and that restores are done during Disaster recovery tests.
  • Completes monthly server back up along with Server Log and ensures off-site storage mechanisms are functional.
  • User Support
  • Help users in day to day IT problems such as logging into the network, printing to network printers and others
  • Advising users and inducting new users in AAI CP IT policies and guidelines.
  • Provide scheduled and as required technical support for users of ActionAid International corporate software such as SUN, NK, and HRIS inclusive of installation, configuration, and back up.
  • Negotiate with relevant providers for telecommunication infrastructure for remote DA/DIs.
  • Audits IT systems and supports DA/Dis and partner offices, where appropriate, regularly in any IT related matters.
  • Monitoring Hardware and Workstation Maintenance
  • Ensuring that a hardware maintenance contract exists and is renewed and that any new hardware is also included in the maintenance contract once the warranty period is over.
  • Ensuring hardware is maintained regularly and properly by service engineers.
  • Checking workstations periodically by scanning hard disks to ensure an effective virus protection is established as per ActionAid Malawi policies and guidelines.
  • Maintains contact with external IT service providers for necessary services.
  • Procurement and Documentation
  • Research sources and availability of various products and services required by the organization to ensure quality and value for money.
  • Maintains purchase register for hardware and software procurements
  • Maintains records on the use of ActionAid International CP laptops, camera and multimedia including maintaining a logbook for recording users of various equipment that are pooled.
  • E-mail Management
  • Manage the email server to ensure smooth functioning of email service
  • Coordinate with ISP for any problems arising with internet systems.
  • Create new email accounts, set up and configure mail client for users.
  • Maintains internet systems for the main office and DA / DIs.
  • Projects and other tasks
  • Participate actively in software and other IT regional and international projects.
  • Provide technical support in the development and maintenance of ActionAid Malawi website.
  • Participate in and work as part of regional IT network team.

QUALIFICATION AND EXPERIENCE:
  • University Degree in Computing / information Systems, Computer Science and Information Technology.
  • Microsoft Certification
  • Three (3) years practical and professional experience in planning, system installations, hardware, software and server configurations, networking, training and technical user support.
  • Knowledge of Windows OS and Server and E-mail configurations.
  • Ability to train and support staff Ability to work under pressure and have good analytical skills.
  • Fluency in written, reading and spoken English and native language.
