Job Description

I-TECH Malawi has been privileged to provide technical support to the Government of Malawi Ministry of Health (MoH), since 2008, through seconded senior Technical Assistants, Programme Officers and Public Health Fellows. The International Training and Education Center for Health (I-TECH) was established in 2002 at the University of Washington in Seattle. I-TECH is funded by the U.S. Centers for Disease Control and Prevention’s Division of Global HIV and TB (CDC-DGHT) under the US President’s Emergency Plan for AIDS Relief (PEPFAR).

wishes to recruit highly qualified and experienced persons to fill the following positions.

 


Position: Human Resources Officer



Position Overview

Human Resources Officer reports to the HR Manager and provides specialized or general support in the day-to-day management and administration of the human resources function. The position will also support other functional areas such as recruitment, staff orientation, training & development, employee relations, compensation & benefits, and performance management.


Duties and Responsibilities

  • Assist in all administrative functions linked to recruitment
  • Announce all new hires to staff
  • Prepare offer letters and employee contracts for new employees.
  • Support the orientation and on-boarding of new employees
  • Ensure that all staff positions have up-to-date job descriptions
  • Assists with performance management system and ensure that key dates and deadlines are met.
  • Track contract expiry dates for renewal.
  • Ensure compliance with all internal policies and procedures as well as external regulatory concerns and applicable labor laws,
  • Supports administration of HR policies, including employee terms & conditions of service, salaries and benefits, employment contracts, leave records etc.
  • Supports administration of the organization medical scheme and pension.
  • Maintain an up-to-date inventory for all SOPs.
  • Supports administration of the staff training and capacity building sessions.
  • Manage the payroll
  • Oversee the management and general administration of employee leave and other leave related processes.
  • Coordinate the timesheet completion process.
  • Support the HR Manager in undertaking regular salary reviews.
  • Monitor and track work permit expirations.
  • Coordinate and assist in scheduling and conducting staff exit interviews
  • Ensure proper planning and preparation in respect of departing staff, including fulfillment of all handover responsibilities, correct payment of terminal dues, exit interviews etc.



Qualifications

  • Bachelor’s Degree in Human Resource Management or Business Administration
  • At least 3 years working experience in a similar post.
  • Evidence of implementing human resources policies.


Knowledge, Skills and Abilities

  • Ability to work with limited supervision.
  • Excellent written and verbal communication skills.
  • Computer literate.
  • Good interpersonal skills.
  • Detail-oriented and sensitive to confidential information.
  • Strong organizational and time management skills.
  • Proven computer skills in Microsoft Word, Excel and Power Point.
  • Previous proven ability to work as part of a team.
  • Good human relations skills and proven integrity.
