Job Description

UNC Project, a biomedical research, training and service organization based in Lilongwe, invites applications from suitably qualified and experienced individuals to fill the position of Human Resources and Administrative Officer.

 Position: Human Resources and Administrative Officer.

Job Summary:

The Human Resources and Administrative Officer at UNC Project performs a range of varied, complex, and confidential administrative and programmatic support functions with only occasional instruction or assistance.  The HR & Admin Officer is a key member of the team responsible for staff recruitment and development. They ensure the welfare of employees through application of UNC Project policies. They act as an intermediary between the HR and Admin office, auxiliary staff, and the Project Management. They help and guide staff in the interpretation and application of the conditions of service and other policy documents for the Project. They also play a critical role in maintaining project infrastructure and equipment.


Specific Duties will include the following among others:

  • Administer employee leave management system
  • Administer employee time and attendance management system
  • Manage employees benefits program
  • Keep/maintain personnel records
  • Assist in maintenance of organizational filing system and databases
  • Provide secretarial or executive assistance during project meetings
  • Supervise assigned administrative and auxiliary staff
  • Respond to administrative inquiries from staff
  • Assist in staff hiring, orientation, development, and discipline
  • Assist in administering employment agreements/contracts
  • Assist in the updating of Project’s policies and procedures
  • Assist in reviewing payroll reports
  • Assist in organizing and supervising repair and maintenance of project infrastructure and equipment
  • Assist in maintaining insurance coverage for project vehicles, buildings and equipment
  • Assist in planning internal and external events
  • Arrange travel and accommodation
  • Assist with visa processes and professional registrations for expatriates
  • Assist in preparation of administrative reports
  • Perform any other duties as assigned

Qualifications and Experience

  • Bachelor of Arts in Human Resources Management or Bachelor of Business Administration
  • 2 years of work experience
  • Those with Masters in Human Resources Management or Business Administration and experience in an NGO will have an added advantage
