Job Description

Emmanuel International Malawi is a locally registered Non-Governmental Organization working with rural communities in Malawi since 1987. Emmanuel International Malawi would like to implement a USAID-funded Leveraging Local Capacities to Strengthen Health Service Delivery Project. This Project will be for a minimum period of three years. The Project seeks to develop and implement of robust social and behavior change (SBC) interventions targeting key audiences to positively influence timely health-seeking behaviors at the individual, household and community levels, and address negative socio-cultural practices and gender dynamics (including GBV). The Project will also strive to (1) increase access to prompt, appropriate malaria diagnosis and treatment; and (2) demonstrate its feasibility and cost-effectiveness in high malaria burden settings.


Position Title: Grants Manager



Position Summary


Provides support in the accounting and recording of all financial transactions including maintaining financial records in conformity with set policies and procedures and manages stores and administers petty cash.


Responsibilities


  • Works closely with the CoP to ensure smooth operation of all finance matters and assist with the preparation of monthly Financial Reports
  • Processes payment requisitions and ensure that all the requisite documents are attached and prepare related payment vouchers and checks
  • Maintains a monthly bank book showing check payments and bank direct transactions
  • Maintains an orderly filing system for payment vouchers and all other finance documents for future records.
  • Manages day to day petty cash which includes preparing petty cash summaries for reconciliation and timely replenishment; coding petty cash transactions for processing in accounting systems.
  • Ensure that petty cash book is up to date and reconciled monthly to the petty cash float all the time.
  • Ensures that all petty cash claims are supported by appropriate documentation and duly approved by authorized signatories
  • Ensures secure handling of cash and cash equivalents which should be locked in the safe for the safety of cash all the time
  • Ensures that goods are properly received and reconcile deliveries with purchase orders and also check quality of the goods all the time.
  • Maintains stock items in orderly manner and regularly update stock control records and properly file all stores requisitions, GRNs and delivery notes
  • Maintains In conjunction with Admin team in conjunction with Admin team inventory system for all equipment and furniture in conjunction with Admin team all the time.
  • Liaises on with Administration team to ensure timely payments for all office related bills for rent, utilities, telephones, e-mail and other services
  • Conduct himself/herself both job-wise and personally in such manner as to bring credit to EIM and not to threaten its charitable assignment.
  • Ensures that Project staff comply with the donor’s financial rules and regulations in overall financial management.


Minimum Requirements:


  • More than 5 years working experience working as a Grants Manager on a USAID funded Project
  • Degree in Accounting or any relevant qualification
  • Having a Chartered Accounting certificate is an added advantage
  • Computer literate and knowledge of SAGE Evolution accounting package is a MUST
  • Excellent communication skills, both written and verbal in English and Chichewa
  • Able to pay attention to details and work in a fast-paced environment
  • Self-starter and able to handle multiple tasks
  • Able to work odd hours when needed.
