GAIA’s aim is to provide health services, targeting prevention, care and support in rural communities in hard to reach areas affected by HIV/AIDS, TB and malaria. Fleet Management Officer will work within the Administration department to support transport requirements for programs and ensure fleet vehicles are well maintained and drivers are driving safely in compliance with government regulations and policies laid down in the organization.

TITLE: Fleet Management Officer


REPORTS TO: Finance and Administration Manager


  • Oversee vehicle services and maintenance.
  • Renewing Insurances and Licensing all Vehicles under GAIA.
  • Ensure tracking of vehicles and produce fuel consumption and fleet management reports.
  • Ensure transport scheduling in collaboration with other departments to meet all travel requests
  • Maintain accurate data regarding the fleet and integrate fleet data into existing software systems and this includes detailed records of vehicle services, fuel, maintenance and all new fittings.
  • Monitor fuel consumption for all vehicles and develop strategies for greater fueling efficiency
  • Supervise field drivers to check compliances on log books, fueling procedures and general vehicle conditions.
  • Scheduling regular vehicle maintenance to ensure operational efficiency.
  • Ensuring strict servicing and maintenance times to minimize downtime
  • Monitoring driver behavior and ensuring a high level of driver compliance to set operational standards in the Organization.
  • Controlling unauthorized use of vehicles


  • Education: Bachelors’ Degree in Business Administration, Accounting,Logistics, Purchasing and Supply or any related field,
  • Experience: Five (5) years of successful transport management experience–ideally including two to three years as a supervisor


  • Excellent communication, outstanding organizational and interpersonal skills
  • Ability to collaborate with others and negotiate with suppliers
  • Computer literacy and software skills in addition to email, spreadsheets and fleet – specific programs systems
  • Finance and accounting literacy with ability to establish a departmental and fleet budget
  • Understand vehicle systems sufficient to authorize repairs and accurately evaluate the work involved in maintenance and repairs
  • Ability to supervise staff
  • Analytical mindset, attention to detail and good problem-solving skills.
  • Familiar with Malawi Directorate of Road Traffic laws and driver’s safety best practices
  • Manages multitasking and shifting priorities effectively
  • Ability to inspire the team towards common purpose
  • Ability to be flexible and work under pressure
