Job Title: Finance Officer

Job summary

Finance Officer will work closely with the Finance Manager and Administration Managerand the Senior Program Manager Essential Job Functions and Duties for Finance Officer Provide sound financial and risk support to grant project teams Review project budgets as well as any related finance deliverables and ensure reliability, relevance and quality of financial information.

  • Maintain reporting schedule, prepare, and submit donor reports. The Finance Officer will maintain grant reporting schedules, work with program teams to draft narrative and financial reports prior to donor deadlines, review reports for consistency with project objectives and timelines (as well as for adherence to donor requirements), and edit reports prior to submission to the donor. The Finance Officer will also coordinate with country, regional, and HQ Finance staff to have financial
    reports consolidated and approved.
  • Monitor financial stewardship of grant. Monitor monthly spending rates, working with the Malawi
    Finance and Administration Manager and the Regional Finance Manager. Work with program staff and finance colleagues to identify and resolve any problems related to spending rates. Ensure proper restrictions are placed on funds in the accounting software. Monitor donor pledge payments and ensure that Water For People is receiving funds on time.
  • Manage internal and external communications. Manage in-country donor relationships and communication with in-country donors. Manage communication with funder relationship managers in Denver, regarding reporting deadlines and project extensions, and respond to funder requests for information. Follow up with Water For People staff and Implementing partners to ensure internal deadlines are met and information is provided on time.
  • Review funding requests and prepare disbursement memorandum supporting funding decisions.
  • Responsibility for delivery of timely and accurate donor financial submissions including financial expenditure reports, forecasts and ad hoc requests Reconcile the reports to the accounting system. Contribute to annual project reporting.
  • Manage day to day finance and administration tasks on the project including partner transfers, funds request for donor, cost recovery, fund management and procurement.
  • Integrate financial processes with existing Water For People systems enabling timely communication of information as required
  • Check, review and process consortium and implementing partner reports, and support with other
    day to day finance and administration tasks on the project, including cashflow and reconciling the cash and bank position.
  • Coordinate and monitor grant audits, and follow up on audit findings as well as on audit recommendations.
  • Follow up with financial monitoring, including development and delivery of the partner risk and audit review visit plan for the project.
  • Manage day to day finance and administration tasks on the project including partner transfers, funds request for donor, cost recovery, fund management and procurement.
  • Integrate financial processes with existing Water For People systems enabling timely communication of information as required.
  • Perform other duties as assigned.


Qualification and experience

Should have the following qualifications:

  • Degree in Finance or Accountancy/ experience may replace formal education in related subject
  • Over 5 years of experience in grant management
  • Post graduate Degree will be an added advantage
