Help a Child is a Christian international NGO specialized in community development with its headquarters in the Netherlands and it has been operating in Malawi since 2010. Founded in 1968, Help a Child’s mission is to improve the wellbeing of children living in poverty and crisis through supportive communities.

We have been working with our partners, in various regions of Malawi, to implement community development programs that promote the well-being of children by empowering their families, and communities. In cooperation with local NGO partners, Help a Child Malawi improves the resilience of households by implementing the Child Centered Community Development (CCCD) Program. In this holistic program, various thematic interventions are combined. They focus on early childhood development, education & child rights, as well as youth development and economic empowerment.

Position : Finance and Administrative Assistant

Help a Child Malawi is currently recruiting a Finance and Administrative Assistant for the day-to-day operations of the Finance Department, responsible for Cash processing and record keeping of the day-to-day transactions in accordance with Help a Child Malawi policies and procedures. The successful candidate will demonstrate a high degree of integrity, transparency and honest behaviour, understanding of both finance, administrative and procurement policies in Malawi.

Job Responsibilities

Specific responsibilities are as follows:

  • Procurement of goods and services.
  • Manage petty cash-Key in data in excel/Pluriform and share with HACA.
  • Scan and send invoices/ Quotations.
  • Making supplier Payments with necessary documentation.
  • Hotel, flights Bookings for local & international travels and conference and accommodation.
  • Banking activities
  • Processing payment requests and distributing advances.
  • Ensuring advances are accounted for in time and liquidations are complete with proper receipts.
  • Prepare funding for partners.
  • Managing Driver and office assistant.
  • Tax compliance (PAYE, Withholding tax, Pension, Tevet levy).
  • Payroll.
  • Fixed asset management.
  • Compliance with relevant regulators Ie NGO board, Congoma and other networks.
  • Organize management meetings, prepare the agenda with the country director and take minutes.
  • Ensure sufficient stock of office supplies and maintenance of office appliances (calling for repairs).
  • Assist in maintaining accurate and up-to-date employee records – personnel files, performance review reports, leave tracking, etc.
  • Assist in recruitment logistics – arranging interviews, checking references.
  • Provide backup documents and TORs during consultant and temporary staff recruitment.
  • Follow up on immigration applications.


This is an extraordinary opportunity for an individual with entry level experience in Finance, Administration and Logistics to be part of our organisation. Specific requirements include:

  • Have at least a bachelor’s degree in Business administration, finance or another relevant field.
  • Have experience in financial, knowledge of subrecipient procedures and project management
    including procurement, budgeting, accounting and grand management as part of the overall project.
  • Have at least 1-2 years of experience in financial and administrative management of local or
    international projects and demonstrate knowledge in Help a Child financial management procedures and management systems.
  • Ability to write and review reports.
  • Excellent interpersonal and communication skills in English.
  • Proficiency in computer tools and relevant software.
  • Have a perfect command of good knowledge of English.
  • Ability to adhere to Help a Child’s Christian Core Values.

The candidate that will be hired will be required to sign and adhere to the Help a Child Integrity Policy.

We offer a financial package commensurate with qualifications and experience based on Help a Child
Malawi salary system. You will be offered a fixed term contract for the period of maternity leave.
