Job Description

Water Mission Malawi (WMM) is a Christian Charitable Non-Governmental Organization based in Lilongwe, Malawi. WMM invites suitably qualified applications to fill the post of Finance and Administration Manager tenable at the Lilongwe office.

Position: Finance and Administration Manager (1)

The Finance and Administration Manager position is a senior position and critical to the success of the WMM Country Program. The successful candidate will play a central role in ensuring all aspects of the financial and administration management of the organization including accounting, program planning, budget controls, human resources, administration, and IT operations. He or she is expected to provide sound financial advice and effective administrative functions helpful in strategic decision making to enhance quality programming and operations. This is an excellent position for an individual with competencies and successful track record of leadership in finance and operations to maximize and strengthen the internal capacity of WMM.

Financial Management

  • Prepare general accounting, accounts payable, preparing transactions through approved software implemented by Water Mission Headquarters.
  • Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly and annual financial statements; collate financial reporting materials for all donor segments; and oversee all financial, project/program and grants accounting.
  • Prepare monthly accounting reconciliations, including bank reconciliations.
  • Coordinate and lead the annual audit process, liaise with external auditors, and provide subsequent reports to Leadership.
  • Collaborate with other areas of WMM on the planning process, developing budgets, orienting staff on budget instructions and templates, administer and review all financial plans and budgets, monitor progress and changes, and keep the senior leadership team abreast of the organization’s financial status.
  • Manage and control the organizational cash flow, security and forecasting to ensure smooth implementation of WMM programs/operations.
  • Update and implement all necessary policies and accounting practices in compliance with the local regulatory frameworks and organization’s overall finance policy and procedure manual.
  • Keep and maintain WMM fixed register and depreciation schedule.
  • Receive monthly financial remittance from Water Mission Headquarters and other sources and posting to the Water
    Mission global ledger.
  • Manage debtors and creditors.
  • Maintain the WMM vehicle fleet including scheduling and ensuring regular services, insurances, road fitness, and taxes.
  • Monitor adherence to rules and regulations for motor vehicle usage, fuels, log booking, and accident reporting.
  • Manage all shipping processes involving ordering, verification, shipment tracking, clearance, inventory taking, and storage.
  • Maintain proper management and inventory of the warehouse and all other stores for WMM materials.

Administration/Human Resource Management

  • Manage WMM human resources and administration, enhancing professional development, compensation and benefits, performance evaluation, training, and recruiting in compliance with labor laws of Malawi.
  • Ensure that recruiting processes are consistent and streamlined.
  • Maintain human resource personnel files, benefits, pension, medical, trainings, and any other record keeping
  • Supervise all other staff under administration including Administrative Assistant, Office Attendant, Groundworkers and Office Security Guards.
  • Establish and manage a comprehensive training program to educate employees regarding staff tools, policies, and procedures.
  • Oversee administrative functions as well as facilities to ensure efficient and consistent operations as the organization scales.
  • Carry out any other duties as assigned from time to time.


  • Minimum of a bachelor’s degree in Accounting or Business Administration and with ACCA/ICAM. Candidates with MBA/CPA/FCCA/ICAM or other related higher qualification will have an added advantage.
  • Minimum of five years of overall professional experience; ideally three-plus years of broad financial and operations management experience preferably working with an NGO.
  • The ideal candidate should have realization of final responsibility for the quality and content of all financial data, reporting and audit coordination for either a division or significant program area, and has preferably overseen human resources function previously.
  • The candidate is expected to have excellent Computer Skills (Word, Excel, QuickBooks, and other accounting software packages).
  • Excellent verbal and written skills to facilitate professional communication to relevant stakeholders within and outside the organization.
  • Knowledge of commonly used accounting, business and manufacturing concepts, practices, and procedures. International/multi-currency accounting experience is preferred.
  • Good analytical and conceptual skills helpful in planning and monitoring budgets against actuals.
  • A multi-tasker with the ability to wear many hats in a fast-paced environment.
  • Ability to organize personal workload and that of others reporting to him/her and proper use of delegation skill.
  • A successful track record in setting priorities; keen analytic, and ability to work through complex issues and employ reasoning skills to solve problems.
  • A track record in grants management.
  • Person with skills and experience in modern technology pertinent in selecting and overseeing software installations and managing relationships with software vendors
