Finance & Administration Manager

Job Description

Youth for Development and Productivity (YODEP) is a Malawian child and youth focused Local Non-Governmental Organization which is geared to help address issues of Malawian children and Youth who live and grow up in high risk environments, plagued by HIV/ AlDs, poverty, ignorance, malnutrition and high rates of communicable diseases. YODEP is currently looking for experienced, motivated, talented, and hardworking individuals to fill the vacant position that has arisen in its Zomba head office on contract.

Position: Finance and Administration Manager

Job Abstract

The Finance and Administration Manager will be responsible in providing financial and administrative functions, ensuring all transactions are captured in the accounting system and ensuring robust management and operations of YODEP projects.

Main Duties and responsibilities

  • Reviewing activity request/payment vouchers/ advance liquidations from officers
  • Producing budgets for various programs and departments
  • Checking and reviewing payroll for the staff salaries
  • Ensuring that Electronic and physical files of YODEP programs and personnel are well recorded and safeguarded
  • Verifying and code timesheets and hours worked
  • Performing bank reconciliations of project accounts
  • Preparing Financial statements and reports (Monthly, Quarterly and Annual)
  • Budget tracking through BVAs and producing BVA reports
  • Monitor Organisation cash reserves and investments
  • Monitor Purchasing and supply system
  • Ensure that all financial transactions are properly recorded, monitored and are up to date
  • Updating and Maintaining QuickBooks account system
  • Tax Adherence and remittance
  • Monitor Fuel management
  • Providing advisory role to YODEP Management – finances and procedures
  • Preparing Donor Funds requests and Reports
  • Support in recruitment process of new staff
  • Supervising junior staff
  • Processing Employee benefits and entitlements

Minimum Qualification and Experience/skills
  • Degree in Accounting/Business Administration/ Economics from accredited institution
  • 4 years Working Experience in accounting and administration field, with Human resources background
  • Strong project experience in Handling Donor Funds
  • Be able to prepare Donor Funds Requests
  • Able to monitor and produce Financial reports for multiple projects
  • Able to demonstrate accounting skills using accounting software such as QuickBooks and SAGE 50
  • Strong Computer Skills in MS Excel and other related packages
  • Good communication skills in English, through Email correspondences
  • Demonstrate strong presentational skills using MS power-point
  • Experience of handling and recording financial information using Accounting packages (QuickBooks, Sage50 etc)
  • Mature and self-starter and be able to work with minimum supervision
  • Demonstrate team work and good leadership skills.
