Job Description

MwAPATA Institute is an independent agriculture policy think tank in Malawi. The Institute is affiliated to the National Planning Commission (NPC) of Malawi and Lilongwe University of Agriculture and Natural Resources (LUANAR). MwAPATA Institute is engaging the Government of Malawi, private sector and civil society stakeholders in a program of applied policy analysis. capacity building, knowledge dissemination, and policy coordination on topics related to agriculture, natural resource management, and rural development. The ultimate goal of MwAPATA Institute is to accelerate the adoption of effective Malawian-led policies and programs to drive broad-based agricultural transformation. diversification and improved smallholder incomes and nutrition in Malawi. The Institute will play a leading role in identifying strategies that will improve the investment climate, promote diversification, and promote increased commercialization and productivity within Malawi’s agricultural sector and then build consensus and support for their implementation. Among other things, this would include building coalitions of private and public sector support to overcome barriers to private investment; assisting government to develop and implement improved policies and regulatory frameworks: and capacity strengthening in policy analysis and communication

MwAPATA Institute wishes to recruit highly motivated, proactive service-oriented and energetic individuals to fill the following position based in Lilongwe:

Position: Finance & Administration Assistant [1 post]

The successful candidate will perform various financial administration support, program, contract management/ reporting and information management support for the effectiveness of MwAPATA Institute operations.

Key tasks shall include:

  • Timely preparation and processing of funds requests, transfers and supplier/service provider’s payments: review payment claims and invoices and preparation of monthly journals.
  • Prepare bank reconciliations, maintaining accurate and reliable accounting records
  • Timely data entry of financial transactions — payment vouchers, transfers and journal vouchers.
  • Preparation of cash, cheque and electronic fund transfer payment for subsequent approvals
  • Support the Finance and Administration manager in preparation of financial and management reports, internal and external audits.
  • Preparation of monthly payroll
  • Processing and reconciling mandatory payments (taxes, pension, levies, etc.)
  • Assist in preparation and monitoring of office budget
  • Maintain the fixed assets register
  • Timely and accurate production of replenishment claims
  • Ensure all the financial documents are properly filled and secure.
  • Ensure all the office supplies are available and maintain stock records
  • Coordination for renewals of vendors and service provider’s contracts, vehicle insurance policies, staff medical scheme policies agreements for office equipment and building maintenance.
  • Ensure all office are in good working condition and are serviced regularly

Qualifications and skills

  • Relevant professional accounting qualification such as Degree in Accounting, Business Administration or its equivalent, a professional qualification (ACCA, CIMA or ICAM) is desired and will be added advantage
  • Minimum 3 years working experience, ideally in an INGO environment but experience of government organization would also be advantageous
  • Strong financial, administration and project management skills
  • Experience working with partners
