invites applications from suitably qualified and experienced persons to fill in the above vacancy tenable at our Blantyre Office.


Purpose of the Job

To support the Managing Director and his executive team attain the organisation’s strategic objectives by providing comprehensive secretarial and administrative services. This includes monitoring, coordination, administering various executive decisions, managing routine office needs and corporate events.


Secretarial – including maintenance of diaries; keeping of minutes of meetings, preparation of reports/presentation decks/slide shows for the Board and the Executive Committee; maintain and ensure security of all executive electronic data files, archives, and MIS. Administrative Support – including Human Resource administration, Payroll processing, event management, scheduling Board meeting/conference arrangements, updating personnel records, executive suite office management and travel arrangements.

Customer Service Support – including taking personal ownership of and responding to customer queries, complaints and or compliments on behalf of the MD.

Financial Management Support/Cost Control – including controlling and reporting on purchasing and expense claims of the Executive Suite Reception Service – including determining issues that need to be referred to the MD Managerial Support – including being up to date on the status of key tasks and responsibilities assigned by the MD to the Executive Management and staff and follow up to ensure tasks/assignments are performed or the MD has been briefed.

Knowledge and Experience Requirement

  • At a minimum, a relevant Degree or Diploma in Business Administration/HR
  • Above average IT user skills and ability to touch type at speed
  • Over 5 years’ experience as an Executive PA and or in a public liaison role
  • Proven track record in handling stressful situations in a customer interface/customer service/event management environment governed by tight deadlines, high standards and significant work
  • Excellent analytical and communication skills: and
  • Energetic, tenacious, enthusiastic and a self-starter.
