Job Description

Baylor College of Medicine Children’s Foundation — Malawi (BCM-CFM) is a not-for-profit organization working in partnership with the Malawi government in the health sector. Our Mission is to provide high-quality, high-impact, highly ethical pediatric and family-centered health care, health professional training and clinical research, focused on HIV/AIDS, tuberculosis, malaria, malnutrition and other conditions impacting the health and well-being of children and families worldwide.

The Baylor-Tingathe program was designed in 2008 to respond to suboptimal uptake of PMTCT and pediatric HIV services In Malawi The program seeks to support Malawi in reaching the ambitious UNAIDS 95-95-95 goals, by improving the identification of HIV-positive persons, timely treatment initiation, and long-term engagement in care. The program is funded by USAID, and is currently operating in 7 districts in Malawi.

Baylor-Malawi is seeking qualified candidates to fill the positions of:

Job Title: EMR Data Clerk

Location: (Health facilities in Mangochi, Machinga, Mulanje, Phalombe, Salima, Lilongwe and Balaka)

Reporting to: Data Officer

Job summary

This position is responsible for POC-EMR and MasterCard data management related activities across the Baylor Tingathe Outreach program. This includes organizing client records in ART clinic, data entry, data verification and data cleaning (data stewardship and ownership, data quality monitoring and management, standard data definitions, and data lifecycle management). This position is based in specific Health Facilities in the districts and will report to the District M&E Officer through Zonal Data Officers. At facility level this position also reports to the Site Supervisor.

Specific Responsibilities

  • Organize electronic and paper files at the facility, make sure all records are entered in the system.
  • Maintains EMR system data entry requirements by following techniques and procedures.
  • Verifies entered data by reviewing, correcting, deleting, or reentering data; combining data from multiple sources if it is incomplete; purging files to eliminate duplication of data.
  • Ensure that the facility EMR systems are up and running, records/reports all issues in the log book and ensures that they are communicated in a timely fashion to supervisor,
  • Provide facility systems updates on a weekly basis to Data Officer
  • Assist with data cleaning/validation as necessary to ensure high quality data.
  • Secure information by assisting with daily data backup on the electronic database.
  • Participate in Quarterly, Biannual Supervisions and Data Quality Assurance exercises
  • Involvement of quarterly DHA cohort report writing together with facility staff.
  • Facility supervisions and visits as outlined by M&E plan. Assist in with regular checks on M&E tools per visit guidelines.
  • Assist the M&E Officer and Data Officers in conducting meetings with Site Supervisors and CHWs to update them with new information related to M&E, as may be required
  • Participate in data collection and entry for program research projects, as required
  • Assist with preparation and correction of USAID and MOH Monthly reports
  • Participate in Tingathe Monthly meeting, as directed by supervisors
  • Provide early notification to program management of data collection or data integrity issues at the facility
  • Work closely with the facility staff (MOH and Baylor) to ensure all data systems at the facility are working properly.
  • Provide mentorship and capacity building to site-level staff to be able to support data entry needs as required.
  • Any other duties as may be delegated from time to time.


  • Certificate in Information Technology , statistics or any related field from a recognized institution
  • Those with HIV management experience will have an added advantage
  • Minimum of one year practical experience in M&E field planning and implementing data management systems
  • Capacity to produce high-quality briefs and reports in English;
  • Strong knowledge of the HIV/AlDs management;
  • Good level of proficiency in Microsoft Windows Excel and quantitative analysis;
  • Strong interpersonal skills;
  • Experience in a non-governmental organization or in USAID funded projects (desirable);
