Job Description


The National Registration Bureau (NRB) is a Government Department under the Ministry of Homeland Security. Through the National Registration Act (2010), NRB is mandated to implement, coordinate, manage and maintain the National Registration and Identification System (NRIS) in Malawi. NRB has the following deliverables: Birth Certificates; National Identity Cards for bonafide Malawians; Identity Cards for foreigners; Certificate of Registration of Marriage and Death Certificates.

National Registration Bureau with support from Centers for Diseases Control and Prevention (CDC) intends to fill the following vacant positions under the project Title: Scaling up and Improving Quality of Civil Registration and Vital Statistics in Malawi Through the National Registration Bureau under the President’s Emergency Plan for AIDS Relief (PEPFAR)

Position: Data Preparation Clerks (11 positions)

Job Purpose:
The Data Preparation Clerk will be responsible mainly for collecting and checking Civil Registration data. The officers will be deployed in the districts of Neno, Thyolo, zomba, Mzimba, Blantyre, Dedza, Nsanje, Mchinji, and Ntchisi registration offices. The Successful candidate will be offered one year contract, renewable based on performance and availability of funding.

Key Responsibilities.

  • Administer registration forms to clients.
  • Assist informants in accurately completing registration forms
  • Check and verify information for accuracy before further processing;
  • Prepare, compile and sort documents for data entry;
  • Enter data from source documents into prescribed computer database;
  • Obtain further information for incomplete documents;
  • Store completed documents in designated locations;
  • Respond to requests for information and access relevant files;
  • Comply with data integrity and security policies;
  • Maintain own office computer equipment and stationary supplies;
  • Provide first level technical and end user support;
  • Any other duties as assigned from time to time.

Desired Qualifications Skills and Competencies.
  • Strong MSCE Certificate with strong credits in Mathematics and English
  • Data entry experience or related office experience
  • Some basic computer, statistics or data management courses will be preferred
  • Excellent organization skills
  • Quick typing skills
  • Attention to detail
  • Mature and high integrity in maintaining confidentiality
  • Thoroughness

Post entry training:

Specific job related training will be provided for each position through in-house training, to familiarize / enable the incumbent to perform his/her duties in accordance with procedures of NRB and its donors.
