Job Description

Pakachere Institute of Health and Development Communication is one of the leading local health and development communication NGO in Malawi. Pakachere exists to empower Malawians, particularly the vulnerable, to choose and sustain healthy behaviors, through service delivery, evidence-based health and development communication, community mobilization, advocacy and networking. Pakachere invites suitably qualified candidates to fill the following positions:

Position: Data Entry Clerks (2 positions)

Responsible to: Monitoring & Evaluation Manager

Key relationship:           Project Manager, M & E Manager, Community Mobilization Officer,

Grade:                          E3

Working hours: 40 hours

Contract:                      Full time, 1 year contract - renewable


Purpose of Job

Data Entry Clerk (DEC) will provide monitoring and evaluation support to WVI- Global Fund AGYW Project by ensuring that all data generated is entered in PMIS for further analysis and reporting. DEC will ensure smooth functioning of operations and project activities in terms of data management and reporting. They will support the M&E Manager as well as the Programme team in data collection and entry, data cleaning and ensuring that physical and electronic data are properly filed and stored in safe places.  

Roles and Responsibilities

  • Preparation of source data for computer entry by compiling and sorting information, establishing entry priorities;
  • Transferring of data from paper formats into computer files using DHIS2 platforms or any data entry software that may be provided;
  • Processes of source data by reviewing data for deficiencies, resolving discrepancies by using standard procedures or returning incomplete documents to responsible officer for resolution;
  • Accurately enter data set forms in a timely, efficient manner while adhering to established deadlines;
  • Maintain and update workflow records regarding work completed and work pending;
  • Secures information by completing data base backups;
  • Sort and organize paperwork after entering data to ensure it is not lost;
  • Update existing data as and when required;
  • Maintains clients and Pakachere IHDC partners’ confidence and protect operations by keeping information confidential;
  • Maintains accurate filing of all data as per SOP


Person Specifications


  • A minimum 1 to 2 years’ experience in Data entry, and monitoring, including data collection and data management.

Skills and abilities

  • Computer savvy, fast typist while giving attention to detail;
  • Must be result and detail-oriented and able to work independently;
  • Willingness to work extended hours to ensure timelines are met;
  • Excellent analytical and numerical skills;
  • Team player, honest and reliable.


  • Knowledge regarding reporting requirements, trends, procedures and priorities.
  • Good command of Excel and Microsoft Word and have experience using databases;
  • Knowledge of SPSS will be an added advantage


  • Must be a holder of Certificate, Diploma in Information Technology or any related qualification
