Job Description

INTRODUCTION AND BACKGROUND 

Nurses and Midwives Council of Malawi (NMCM) is the regulatory body of Nurses and Midwives established in 1966 under the act of parliament Laws of Malawi Cap 3002. NMCM is mandated to develop, maintain, monitor, evaluate and control the profession of Nursing and Midwifery thereby contributing to the national goal of promoting the health status of Malawians. As a regulatory, NMCM has the role of regulating the education, training, practice and professional conduct of Nursing and Midwifery personnel in the country in order to protect the public from unsafe practice. In order to effectively execute its functions, NMCM is in the process of opening regional offices in North and Southern Region in a phases. Therefore, NMCM is now urgently looking for suitable individuals to fill the following positions:


Position: DATA ENTRY CLERK (1 position for Lilongwe office)




Main purpose of the job: Reporting to the Examination and Registration Specialist, the Data Entry Clerk shall be responsible for collecting and entering data in database and maintaining accurate records of valuable council information.



MAJOR DUTIES AND RESPONSIBILITIES

  • Transfer data from paper formants into computer files or database systems using keyboards, data recorders or optical scanners within time limit.
  • Type in data provided directly from customers
  • Create spread sheets with large numbers of figures correctly
  • Verifying data by comparing it source document.
  • Update existing data regarding licensure status and indexing status.
  • Retrieve data from database or electronic files as requested
  • Reviewing data for deficiencies or errors, correcting any incompatibilities and checking output.
  • Perform regular backups to ensure data preservation.
  • File and organize paperwork after entering data to ensure it is not lost
  • Keep the records safe and secure in proper place with a locking system
  • Provide access to records and files to the appropriate personnel
  • Provide quarterly data updates on number of qualified nurses and midwives in the register.
  • Analyze all entered data quarterly
  • Any other duties as assigned from time to time.


C. MINIMUM QUALIFICATIONS

  • Diploma in information technology
  • 2 years’ relevant experience in data management


D. REQUIRED COMPETENCIES

  • IT skills including proficiency in Microsoft word and excel
  • Ability to work both autonomously and as part of a team, working to meet deadlines with limited supervision.
  • Excellent verbal and written communication skills
  • Good organizational skills with the ability to adapt and respond to busy and varied work load.
  • Understanding of data confidentiality.
