Job Description

A. MAIN PURPOSE OF THE JOB

Reporting to the examination and registration specialist, the Data Entry Clerk shall be responsible for collecting and entering data in databases and maintaining accurate records of valuable council information.

B. MAJOR DUTIES AND RESPONSIBILITIES

  • Transfer data from paper formats into computer files or database systems using keyboards, data recorders or optical scanners within time limit.
  • Type in data provided directly from customers
  • Create spread sheets with large numbers of figures correctly
  • Verifying data by comparing it source document.
  • Update existing data regarding lists status and indexing status.
  • Retrieve data from database or electronic files as requested
  • Reviewing data for deficiencies or errors, correcting any incompatibilities and checking output.
  • Perform regular backups to ensure data preservation
  • File and organize paperwork after entering data to ensure it is not lost
  • Keep the records safe and secure in proper place with a locking system
  • Provide access to records and files to the appropriate personnel
  • Provide quarterly data updates on number of qualified nurses and midwives in the register.
  • Analyze all entered data quarterly
  • Any other duties assigned from time to time.

C. MINIMUM QUALIFICATIONS

  • Diploma in Information Technology
  • 3 years relevant administrative experience in data management

D. REQUIRED COMPETENCIES
  • IT skills including proficiency in Microsoft word and excel
  • Ability to work both autonomously and as part of a team, working to meet deadlines with limited supervision.
  • Excellent verbal and written communication skills
  • Good organizational skills with the ability to adapt and respond to busy and varied work load.
  • Understanding of data confidentiality.
