Job Description


As a federal enterprise, the Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH supports the German Government in achieving its objective in the field of international cooperation for sustainable development. GIZ operates in more than 130 countries around the globe. In Malawi, GIZ has been working for more than 50 years. Malawi is a priority for German international cooperation and currently focuses on three priority areas: education, health and private sector development in rural areas. In addition to our work on these areas, we also work on public financial and economic management and social protection.

The Malawi German Health Programme (MGHP) is the technical cooperation programme of the German Development Cooperation’s (GDC) support to the health sector in Malawi. It is commissioned by the German Ministry of Economic Cooperation and Development, BMZ, and implemented by GIZ.

The title of the MGHP is “Health Systems Strengthening with a Focus on Reproductive Health”. MGHP provides technical support to the Ministry of Health (MOH), regulatory bodies, training institutions and CHAM, and implements interventions in the four target districts of Dedza, Lilongwe, Mchinji and Ntcheu.

The areas of support are (1) quality of care, (2) district HR management (3) health information and digitalization and (4) central hospital reform. The Bill and Melinda Gates Foundation (BMGF) co-finances MGHP with the aim of improving health data demand and use under health information and digitalization.

The current programme phase runs from 01.08.2020 till 31.07.2023.

GIZ is recruiting two Administrative Assistants for the Malawi German Health Programme (MGHP) Health Systems Strengthening with a focus on Reproductive Health in Lilongwe.

A. Responsibilities

MGHP seeks to employ two Administrative Assistants who will be based in Lilongwe with frequent travel to the districts. The Administrative Assistants has the following core responsibilities:

  • Build capacity and support partners in managing small grants
  • Performing general clerical services
  • Complying with GIZ Processes and Rules

In this context, the position holder performs the following tasks in close collaboration with the Technical Advisors of MGHP and under the guidance of the Head of Administration:

B. Tasks

Grants management services

  • Support partner institutions with the budgeting of QI projects
  • Build capacity of facility management on accounting rules and procedures
  • Support health facilities with preparation of liquidation and supporting documents
  • Liquidate grants related expenses for QI projects

Clerical, administrative and financial services

  • Prepare and send invitation letters for events in close collaboration with the technical team
  • Prepare and coordinate the logistics
  • Prepare and maintain participants lists and DSA payment sheets
  • Prepare and execute cash payments for participants according to budget
  • Liquidate event related payments against the planned budget

Other duties/additional tasks

  • Perform other duties and tasks at the request by GIZ management

C. Required qualifications, competencies and experience


  • Diploma in Accounts or another relevant topic

Professional experience

  • At least 2 years’ experience in a similar position

Additional Competencies

  • good working knowledge of ITC technologies and computer applications (e.g. MS Office)
  • strong managerial and organisational skills
  • excellent communication and documentation skills
  • willingness to upskill as required by the tasks to be performed

It is expected that the period of employment will run from 01.03.2021 until 31.07.2023.
