Job Description

National Local Government Finance Committee (NLGFC) was established under the provisions of Section 149 of the Constitution of the Republic of Malawi to facilitate financing of local councils in Malawi.

The National Local Government Finance Committee (NLGFC) therefore seeks to strengthen its capacity to enable effective and efficient delivery of its constitutional mandates and implementation of its Projects by engaging suitably qualified, experienced and result oriented Malawian professionals to fill the vacant post of Administrative Assistant Grade M6 tenable at the NLGFC offices, Area 14, Lilongwe. The position is sensitive requiring highly committed, dedicated and skilled professionals with exceptional expertise:


The Post: Administrative Assistant (Grade M6)

Job Function

Reporting to the Senior Administrative Assistant,theAdministrative Assistantshall provide effective clerical and administrative support to the National Local Government Finance Committee (NLGFC).

Key Roles and Responsibilities

  • Providing secretarial duties to the assigned departments, including drafting some correspondences, typing correspondences, reports, budgets, institutional manuals and handbooks, confidential documents, and data entry.
  • Preparing and servicing workshops, meetings and appointments, including making accommodation bookings and reservations, organizing materials, producing and distributing documents, making appointments, serving beverages and food, taking minutes and administering petty cash payments.
  • Ensuring the proper maintenance of departmental filing systems.
  • Performing reception duties, including receiving and serving visitors, receiving, sorting, and sending surface, air, electronic and postal mail, messages and parcels.
  • Providing general administrative and clerical support to Directorates including mailing, scanning, faxing and copying;
  • Assisting with all aspects of administrative management, directory maintenance, logistics, equipment inventory and storage;
  • Preparing and modifying documents including correspondence, reports, drafts, memos and emails;
  • Scheduling and coordinating meetings, interviews, events and other similar activities;
  • Maintaining electronic and hard copy filing system;
  • Managing the calendar for the Director,
  • Ensuring office cleanliness.
  • Answering incoming calls and directing visitors
  • Assisting the Administrative Officer in the procurement of office consumables, conducting interviews, plus stores and inventory control related to a Division.
  • Taking dictation or recording minutes of meetings and making necessary follow-up actions.


  • Diploma in Secretarial Studies or Office Administration from a recognized institution.

Required Technical Skills/ Attributes

  • Minimum of three (3) years relevant work experience.
  • Computer literate with thorough knowledge and application of computer packages such as Word, Excel, Access, Power Point and Internet.
  • Prepared to work odd hours when required and with minimum supervision.
  • Highly effective and proven skills in organizing, prioritizing and coordinating work and other NLGFC activities.
  • Exceptional degree of integrity, sound judgement and tact in handling sensitive and confidential material.
  • Self-motivated,ability to handle confidential issues, driver for excellence and fast leaner.
  • Able to demonstrate strong ethical standards and team player.
  • Effective communication skills with a good command of spoken as well as written English and a sense of detail and accuracy.

Salary Scale: Government salary scales for the National Local Government Finance Committee under the relevant Grades shall apply.
