Job Description

Children of the Nations is a duly registered NGO in Malawi with a mission to raise children who transform Nations. It partners with nationals to provide Christ-centered care for orphaned and destitute children, enabling them to create a positive and lasting change in their nations.

In order to fulfil its vision effectively and excellently, opportunities have arisen to engage qualified person of Malawian origin to fill posts tenable at as head office in Lilongwe. COTN therefore, invites applications from suitable candidates to fill the positions on a two year contracts renewable upon successful performance appraisals and availability of funds.



Post: Administrative Assistant

 

Position Summary

To pro-actively facilitate clerk duties and maintain and repair of COTN facilities, to complete construction projects and to coordinate the efforts of maintenance staff


Main Duties and Responsibilities


Maintenance duties

  • Facilitate repairs to COTN offices, Njewa campus, COTN homes and Centre buildings as directed by the Procurement and Logistics Officer (PLO)
  • Pro-actively identify areas of needed maintenance or repairs and submit proposed cost to PLO
  • Prepare weekly, monthly and quarterly maintenance schedules and allocate work as per forecast workloads
  • Maintain inventory of tools and supplies, ensure proper storage and submit proposal for new purchases to Procurement and Logistics Officer
  • Inspect organization facilities on daily basis to determine problems and report to the PLO for necessary maintenance
  • Perform route clerical duties as directed by PLO
  • Administrative duties
  • Participate in coordination of renovation of projects
  • Performing routine of clerk work in support of administration activities eg photo copying, typing, receiving mail, sorting mail delivering mail and picking documents to assigned offices
  • Ensuring that the offices and surroundings are clean in coordination with grounds men and house keepers


Qualifications, Experience, Skills and Competences

  • Mature Christian a person with high integrity who has the potential to provide spiritual counselling and parental advice when need be
  • Minimum of MSCE or its equivalent
  • At least 3 years relevant work experience in the fields of administration, Carpentry, building Construction and Facility maintenance.
  • Good understanding of Health and safety regulations and practices
