World Vision International in Malawi is currently looking for dedicated professional Christians to fill the vacant positions below for the anticipated Global Fund HIV\/AIDS, TB and Malaria program to be implemented during 2021 – 2023 implementation period in Malawi. Administration, People and Culture Officer (Grade 13) – Position- Based at the National Office in Lilongwe

Purpose of the position:

  • To implement P&C Strategy in the Global Fund Grant and partners with District leadership in support of strategic business objectives and employee contract Management. S/he manages all administrative matters in the day to day operations of the unit.


Major Responsibilities

  • Ensure all WVM Assets in the Unit are well managed, and fully accounted for at any point in time.
  • Manages and replenishes fuel for pool vehicles under the Unit
  • Book meeting venue and communicate meeting details including date, time and agenda.
  • Ensure stationery and office supplies are available for meetings and all business processes.
  • Draft correspondence and letters as required by the Unit .i.e Contract appointments, Transfers, End of Contracts, Acceptance of resignation, Letters of Undertaking (loans), Application for passports and visa, Application for opening new accounts and Invitation letters (for visitors)
  • Produce and submit monthly reports on P&C activities including reporting on the P&C score card/annual business plan for the Unit
  • Facilitate and document yearly policy acceptance declarations by all staff
  • Provide full life-cycle support to hiring managers regarding recruiting needs, including, interviewing. and facilitating the selection of candidates in alignment with P&C guidelines and internal processes
  • Management of employee data in Our People System including monitoring transactions pertaining to positions, job holders, cost centres, hiring and separation processes, employee data, contracts management, leave management and track staff movements including updating organization structures

 

Qualifications: Education/Knowledge/Technical Skills and Experience

  • Bachelor’s Degree in Human Resources, Business Administration or related-field from a recognized institution
  • At least 3 to 5 years’ supervisory experience in HR and Administration in a busy organization
  • In-depth understanding of Malawi’s labour laws
  • Detail oriented with strong analytical, problem solving and organizational skills
  • Ability to work in a team to achieve excellence in execution, committed, accountable
  • Commitment to World Vision mission and partnership values and sensitivity to its various expressions across cultures and denominations.
  • Good Interpersonal skill
