JOB SUMMARY:

Magic Clean is seeking a detail-oriented and organized Accounts & Administration Officer to oversee financial transactions, office administration, and general business operations. The ideal candidate will have a Bachelor’s degree in Accounting, Finance, or a related field and experience in financial management and office administration. This role ensures efficient day-to-day operations and compliance with company policies while supporting the Managing Director in decision-making and strategic planning.

Key Responsibilities

KEY RESPONSIBILITIES:


1. Financial Management & Accounting


Maintain accurate financial records, including invoices, receipts, and payments.

Process accounts payable and receivable, ensuring timely payments and collections.

Prepare financial reports, bank reconciliations, and budget forecasts.

Assist with payroll processing and employee expense reimbursements.

Ensure compliance with tax regulations and financial policies.


2. Office Administration & Operations


Manage office supplies, equipment, and general office operations.

Handle correspondence, scheduling, and document management.

Ensure smooth day-to-day administrative functions.


3. Human Resources Support


Maintain employee records, contracts, and HR-related documentation.

Assist in recruitment, onboarding, and training processes.

Support employee engagement initiatives and HR compliance.


4. Compliance & Risk Management


Ensure adherence to company policies and procedures.

Assist with internal and external audits.

Handle confidential information with discretion.


5. Reporting & Coordination


Prepare financial and operational reports for the Managing Director.

Coordinate with external stakeholders, such as auditors, banks, and suppliers.

Support management in strategic decision-making.


6. General Support & Other Duties


Provide administrative and accounting support to various departments as needed.

Identify areas for process improvement and operational efficiency.

Perform other tasks as assigned by the Managing Director.


QUALIFICATIONS & SKILLS:

Bachelor’s degree in Accounting, Finance, or a related field.

3+ years of experience in accounting and office administration.

Proficiency in accounting software (e.g., QuickBooks) and MS Office Suite.

Strong organizational and multitasking abilities.

Excellent communication and interpersonal skills.

High level of accuracy, attention to detail, and problem-solving skills.

Ability to work independently and as part of a team.
